Jinding Translation Service (澳洲墨尔本金鼎翻译公司) handles customers’ personal information in accordance with Australia’s Privacy Act 1988, where applicable.
This policy explains how we handle customer information when responding to enquiries and providing translation and related services.
1. Information We Collect
We receive information through our website, WeChat, email and other contact channels. This includes contact details, order information, documents for translation and supporting materials needed to provide our services.
Documents may contain names, dates of birth, identity document numbers, family relationships, medical information or legal information. Please provide only the materials needed for your order. If submitting documents on someone else’s behalf, please ensure you have appropriate authorisation.
2. How We Use Information
We use customer information for quotations, translation, proofreading, customer review, delivery, order communications and resolving related issues. Necessary transaction information is used to process payments, issue invoices and meet applicable legal obligations.
3. Document Confidentiality
We keep customer documents and personal information confidential. Access and use are limited to the relevant staff and translators working on the order, to the extent needed to provide the service.
If other service providers are needed to fulfil an order, we share only the information necessary for their work. Disclosures required by law or valid legal requests are handled in accordance with applicable requirements.
4. Document Retention and Deletion
Once the translation has been delivered, checked and confirmed by the customer, and the order is complete, we delete the customer’s submitted documents and completed translation without retaining copies.
While an order remains in progress, we retain the relevant files to continue the work. Please download, back up and safely store your translation. For future translations or document updates, please provide the relevant materials again.
Invoices, payment records and other necessary transaction records required by law are retained for the applicable period. These records do not include the customer’s source documents or completed translation.
5. Information Security and Third-Party Platforms
We take reasonable organisational and technical measures to protect customer information from unauthorised access, use or disclosure.
When you use WeChat, email or online payment platforms to contact us or arrange services, those platforms also handle information under their own privacy policies. Please refer to the respective privacy policies of third-party websites linked from our website.
